What is the E-Onboarding Dynamic Form Builder?
The Dynamic Form Builder forms the foundation of E-Onboarding, enabling organisations to configure and personalise their New Hire forms. This tool allows authorised users to design an onboarding experience that aligns with their unique business and compliance requirements.
HR Administrators can tailor the default E-Onboarding form layouts by:
- Defining or adding section headers
- Moving fields between sections by dragging and dropping
- Ability to configure or move sub-sections within other sections
- Assigning ownership of sections to either HR Admins (Administrator) or New Hires (Employee) to segregate the fields to be completed
By providing this flexibility, the Dynamic Form Builder ensures that each customer can adapt the onboarding process to meet their organisational needs, delivering a tailored and efficient experience for both HR teams and employees.

Frequently asked questions
Yes. The E-Onboarding feature allows for collaborative data capture, enabling HR
Administrators and New Hires to complete their respective sections of the onboarding form
simultaneously. This ensures a faster and more efficient onboarding experience. The HR Admin
will always be the last participant to review and finalize the detail before enrolling the
employee to the Payroll.
Yes. As an HR Administrator, you can register a New Hire on the E-Onboarding screen and
choose to send the welcome email at a later stage. This allows you to prepare the record in
advance and initiate the onboarding process when you’re ready.
Yes. We created a dedicated Add New Hire (E-Onboarding) Bulk Upload under Bulk
Actions.
Draft – A New Hire record has been created and saved, however the link has not been sent
to the New Hire to complete yet; Pending – After a New Hire record has been created and
saved, the welcome email with the secure link has been sent out to the New Hire’s email
address; Ready to Enroll – The New Hire completed their personal information via their EOnboarding
forms and submitted the information back to HR.
New Hires are saved per frequency. Navigating to a different frequency will only show the
applicable New Hires initiated in that frequency.
Yes. You can register multiple New Hires on the E-Onboarding screen and then use
the multi-select function to choose the applicable records. Simply click the email icon to send
out all welcome emails in one go, streamlining your onboarding communication.
The Email has not yet been sent to the New Hire; the status of the record is in Draft. As
soon as the welcome email is sent to the New Hire, the DFB Card icon will appear.
Yes. You can delete New Hire records for all statuses, just not after the New Hire has been
enrolled already.
Yes. The system will automatically generate the next available Employee Number.
When a New Hire selects the link on the email, we have incorporated a message to show
“Record is not available”. This ensures that outdated or invalid onboarding links cannot be
used.
Yes. However only HR Admins can correct the details.
Yes. You will be able to resend the welcome email to New Hires with the status Draft and Pending.
No. There is no limit.
This will not be possible. The New Hire will have to have a working email address.
We have built in the necessary validations to eliminate duplication of records.
E-Onboarding is not intended for mobile use yet, but we are considering this for future
enhancements.
No. Only New Hire records and internal DLP users.
